This Privacy Policy explains how Remindon ("Remindon", "we", "us", or "our") collects, uses, stores, and protects information when you use the Remindon mobile application and related services (the "Service").

Important: Remindon is designed to help you securely organize documents and track important dates. Documents such as passports, identity cards, licences, insurance records, and certificates may contain sensitive personal information. We treat this information accordingly.

1. Information We Collect

1.1 Account information

When you create or use a Remindon account, we may collect information such as your name, email address, authentication information, and account preferences.

1.2 Family and profile information

If you use family features, you may provide information about family members or other people whose documents you manage, such as their name, relationship, date of birth, nationality, or other information you choose to add.

1.3 Documents and document information

When you scan, photograph, upload, or otherwise add a document, we may process:

Images, photographs, PDFs, and other document files you upload;
Names and other identifying information appearing in the document;
Document numbers and reference numbers;
Issue, registration, effective, renewal, and expiry dates;
Document type, category, issuer, and other fields extracted from the document;
Tags, notes, reminders, and other information you choose to associate with the document.

1.4 Camera and files

With your permission, Remindon may access your device camera so that you can scan documents. You may also choose documents or images from your device storage or file picker.

Remindon does not access your camera continuously. Camera access is used when you initiate a scanning or capture function.

1.5 Notifications

If you enable notifications, we may process information needed to deliver expiry, renewal, account, and other notifications to your device.

1.6 Device and technical information

We may collect limited technical information necessary to operate, secure, maintain, and troubleshoot the Service, such as device type, operating system version, application version, language, time zone, IP address, crash information, and diagnostic information.

2. How We Use Information

We use information for the following purposes:

To create and maintain your account;
To store and display your documents and document metadata;
To use OCR and AI processing to identify document types and extract relevant information;
To match documents to people, detect potential duplicates, and manage document versions;
To calculate expiry and renewal dates;
To send reminders and notifications you configure;
To synchronize your information across supported devices;
To provide customer support;
To detect, prevent, and address fraud, abuse, security incidents, and technical problems;
To maintain, improve, and develop the Service; and
To comply with applicable legal obligations.

3. AI and OCR Processing

Remindon uses automated OCR and AI technologies to help recognize documents and extract information from uploaded images or files.

For example, the Service may identify a document as a passport, driving licence, insurance document, or certificate and extract fields such as a person's name, document number, issue date, or expiry date.

AI-generated results may be inaccurate. Remindon provides editing and verification functionality so that you can review and correct extracted information.

AI/OCR processing may be performed by Remindon infrastructure or by third-party technology providers acting on our behalf. Such providers may process information only as necessary to provide the relevant service and subject to appropriate contractual and security safeguards.

4. How We Share Information

We do not sell your personal information.

We may share information with trusted service providers that process information on our behalf, such as providers of:

Cloud hosting and database infrastructure;
Secure file or object storage;
OCR and AI processing;
Push notifications and email delivery;
Authentication and account security;
Crash reporting, diagnostics, and application monitoring; and
Customer support and other essential technical services.

We may also disclose information where required by law, legal process, court order, or governmental request, or where reasonably necessary to protect the rights, safety, security, or property of Remindon, our users, or others.

5. Document Sharing by You

Some Remindon features may allow you to share documents or document information with family members or third parties. You control whether and with whom you share such information.

You should only share documents with people or organizations you trust and should review sharing permissions before sending sensitive documents.

6. Data Storage and Security

We use reasonable technical and organizational safeguards designed to protect information against unauthorized access, alteration, disclosure, loss, or destruction.

Depending on the feature and implementation, safeguards may include encrypted connections, access controls, authentication protections, secure cloud storage, encrypted credentials, device-level biometric or PIN protection, logging, and monitoring.

No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.

7. Data Retention

We retain account, document, and related information for as long as reasonably necessary to provide the Service, maintain your account, comply with legal obligations, resolve disputes, enforce agreements, and protect our legitimate business interests.

When you delete a document or account, we will take reasonable steps to delete or anonymize associated information, subject to legal, security, backup, and operational requirements.

8. Your Choices and Rights

Depending on your location and applicable law, you may have rights to:

Access personal information we hold about you;
Correct inaccurate information;
Request deletion of personal information;
Request restriction of certain processing;
Object to certain processing;

9. Children's Privacy

Remindon is intended for use by adults. The Service may allow an adult user to store documents relating to their children or dependents. We do not knowingly create accounts for children where prohibited by applicable law.

If you believe a child has provided personal information directly to us in violation of applicable requirements, please contact us so that we can review and take appropriate action.

10. Third-Party Services

The Service may use third-party services for hosting, authentication, analytics, notifications, OCR, AI processing, crash reporting, or other technical functions. These providers may have their own privacy policies governing their processing of information.

11. International Data Transfers

Depending on the infrastructure and service providers used by Remindon, your information may be processed or stored in countries other than the country where you live. Where required by applicable law, we will use appropriate safeguards for international transfers.
